Duval Air & Heat ("we," "us," or "our") operates demo.byrootyagency.com and provides heating, ventilation, and air conditioning services in Jacksonville and St. Johns County. This policy explains what information we collect, how we use it, how automated systems are involved, and the choices you have.

1. Information We Collect

Information you give us directly. When you submit a form, call us, text us, use our website chat, or book an appointment, we may collect your name, phone number, email address, service address, and details about your heating or cooling system and the problem you're experiencing.

Service and equipment records. Job type, property type, system age, urgency, service dates, assigned technician, maintenance plan status, and renewal dates.

Payment information. Estimates, invoices, and payment records. Card details are entered directly with our payment processor and are not stored on our systems.

Communications. The content, date, and time of calls, text messages, emails, and chat conversations with us — including conversations handled by automated systems as described in Section 5.

Information collected automatically. IP address, browser and device type, pages viewed, time on site, and the website or advertisement that referred you, collected through cookies and similar technologies.

2. How We Use Your Information

  • Technicians and subcontractors assigned to your job, who receive what's needed to complete the work

  • Legal authorities when required by law, subpoena, or to protect our rights, safety, or property

  • A successor business if our company is sold or merged

4. Mobile Information and Text Messaging

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. Automated and AI-Assisted Communications

We use automated systems, including artificial intelligence, to help handle routine communication. Specifically:

Website chat and text messages. Our chat widget and some text message replies may be generated by an AI assistant rather than typed by a person. Its role is limited to answering common questions, gathering details about your service need, and scheduling appointments. It does not diagnose equipment problems, quote prices, or make final decisions about your service.

Reaching a person. You can ask at any point to be put in touch with a member of our team. Depending on the time of day and who is available, we may connect you directly or take your details and have someone follow up. Anything the automated system is uncertain about is passed to our staff.

What happens to these conversations. Transcripts are stored in our customer records alongside your other service history and used to serve you and improve how our systems respond. No automated decisions with legal effect. These systems don't determine pricing, deny service, assess creditworthiness, or make any decision that produces a legal or similarly significant effect. They gather information and schedule; people decide.

6. Call Recording and Monitoring

Florida is a two-party consent state. We do not record telephone calls without notifying you at the start of the call. If a call is being recorded or monitored, you'll be told before the conversation begins, and you may ask that recording stop or request a person instead.

Recordings and transcripts are used for quality assurance, training, dispute resolution, and maintaining accurate service records.

Text message and chat conversations are stored as a normal part of your customer record.

8. Cookies and Tracking

Our website uses cookies to remember your preferences, understand how visitors use the site, and measure advertising performance. Most browsers allow you to refuse or delete cookies in their settings. Disabling cookies may affect how parts of the site function.

9. How Long We Keep Information

  • Customer and service records, including equipment history: for the duration of the customer relationship and 7 years afterward, supporting warranty claims and tax requirements

  • Call recordings and conversation transcripts: 12 months, unless needed longer for a dispute

  • Text message records: 18 months

  • Website analytics: 26 months

  • Records of opt-out requests: kept indefinitely, so we can honor them

Adjust these to what your system actually does. Do not publish a period you don't enforce.

10. Your Choices

You may:

  • Opt out of text messages by replying STOP to any message

  • Ask us to stop sending non-essential emails, or to contact you by phone instead

  • Ask that a member of our team, rather than an automated system, handle your inquiry — we will either connect you or arrange for someone to follow up

  • Request access to, correction of, or deletion of information we hold about you

11. Security
